Fulfillment Operations Coordinator

We are looking to hire a high-tempo Fulfillment Operations Coordinator to operate and oversee the daily functions of the fulfillment aspects of the company. The 5 to 8-person fulfillment department requires a strategic thinker with a mind for management, leadership, efficiency, and cost-effectiveness. Primary functions will include management of all fulfillment staff, oversight of all daily fulfillment operations, systems development and constant-improvement, and leading the fulfillment teams in hitting their volume-focused targets. This individual will work closely with our Director of Production, Inventory Coordinator, Procurement Coordinator, Director of E-Commerce, Customer Experience Manager, as well as the Fulfillment Supervisors. Primary Job Duties:

  • Manage and lead all subordinate staff and Supervisors.
  • Plan, prioritize, and manage all daily/weekly projects and workflows.
  • Drive high-volume output, establish clear expectations and set the standards for success.
  • Aid in creating rigid quality standards and inspection processes for all new products. As well as enforcing all existing standards and processes.
  • Set and maintain excellent standards of accuracy, efficiency, and quality for the fulfillment departments.
  • Carry out daily/weekly flash meetings with the fulfillment teams to set/maintain clear priorities and deadlines for the department.
  • Orchestrate with other management colleagues to ensure the smooth fulfillment of all new departmental demands and challenges.
  • Develop, refine, and constantly-improve fulfillment processes, systems, and workflows for the fulfillment departments.
  • Regular forecasting of demand and coordination of labor required to accommodate seasonal fluctuations and large spikes in demand.
  • Execute all core employee management tasks including, but not limited to, training, promotions, formal reviews, and suspensions/reprimands. Provide recommendations and assist with the hiring and termination of employees.
  • Maintain a workplace culture that breeds elite, motivated, and hardworking individuals that strive for exceptional speed and quality while maintaining a sense of community and teamwork.
  • Daily, weekly, and monthly data collection and reporting. This includes the management of the monthly counting and reconciliation processes.
  • Manage and operate the defect tracking system. Produce monthly defect reports to submit to the Director of Production and hold monthly summary meetings with the production team to discuss the monthly status.
  • Monthly, quarterly, and annual forecasting.
  • Accountability for the department’s smooth operation and overall success.

Job Requirements:

  • Experience with Google/Microsoft applications as well as modern shipping and project management software preferred
  • Expertise in digital and oral communication accompanied by exceptional response times
  • Understanding of e-commerce from a fulfillment standpoint
  • Mastery of concepts regarding high volume, high efficiency, and cost-effective fulfillment
  • Organizational skills and attention to detail
  • Analytics and data analysis experience
  • Success-driven and system-based thought processes
  • Expert in developing standardized methodologies and systems accompanied by supporting documentation, guides, and/or tools
  • Self-starter, able to succeed in a fluid and fast-paced work environment
  • Fantastic people skills and a strong grasp on the concepts of management and leadership
  • Understanding of business and ROI
  • Foundational knowledge of the 8 wastes and the threats they pose to the organization
  • Ability to recognize the 8 wastes and develop effective solutions to reduce/eliminate them when they arise
  • Capable of working through complex issues and tough scenarios quickly
  • Foresight to make corrections/adjustments before bottlenecks and lags occur

Workload:

  • 45-50 hours a week based on seasonal workload
